Space/Room Request Process

1.  Check that the day/time/space is available
  • On the Availability Page, use the calendar in the upper right corner to choose your date.
  • In the blue "rooms" box, either leave SHOW ALL ROOMS checked to see all availability for all spaces or remove the checkbox in front of SHOW ALL ROOMS and then put checkboxes in front of whichever space(s) you are interested in.  Then click on SELECT EVENTS.
  • Below you will see a list of any events that are already booked on that day and in the selected space(s).  
  • If there is no conflict with the event you want to request space for, go to #2.
2.  Submit Your Request:
  • Click on the link at the top of the Availability Page:  CLICK HERE TO REQUEST THE USE OF A SPACE
  • Use the calendar at the upper right to select the day of your event
  • Event Name: Type the name of your event; then hit the TAB key on your keyboard to copy that name into the calendar name box
  • Description:Type a brief description for your event
  • Contact Name:  fill in your contact information
  • Actual Event Time:  Time of the event (not including set up & clean up)
  • Total Room Time:  Total time you need the space
  • Room Selection:  Select the location and then the room you are requesting
  • Type of Group:  Select "other"
  • Additional Info:  Fill in your address, and any other information you may have
  • Terms:  You must check off that you have read and agree to the terms and conditions
  • Fee Schedule:  Click on this to see the appropriate fees.  You must submit the necessary fee within 7 days of submitting your request.  Requests will not be approved until the necessary fee is received
  • Equipment:  If you are also requesting the use of town or library owned equipment, check it off here
  • Private Message to the Calendar Editor:  Any special requests should be entered here
  • Location drop-down menu:  Choose the location you are requesting.  If you can't read the names of the locations, click on RESIZE LIST next to "Location" above the menu
  • Keywords:  Leave blank
  • Event Link:  If you would like the calendar listing for your event to include a link to your organization's Web site, type the URL in under "Event Link" and type text for the public to see for the link (ie: Company's Web site) under "Event Link [Text]"
Click on SUBMIT THIS REQUEST

3.  Confirmation or Denial
  • After you submit a request, you will get an acknowledgement that your request was submitted.
  • The request is submitted to the appropriate authority and will be approved or denied within 14 days.  Municipal Center and Stratham Hill Park requests are reviewed by the Board of Selectmen at their next regularly scheduled meeting.  Library requests are reviewed by the library director on an ongoing basis.  Firehouse requests are reviewed by the Board of Selectmen and may require SVFD input before approval.
  • You will receive an e-mail confirmation or denial once a decision has been made.  That e-mail will include additional information for you.

What if my event will take place sooner than the 14-day response time and I would like an urgent answer?
Please submit your request as detailed above, but also call the appropriate location to explain your situation.

What if I have a question about a fee and/or the location?
Submit your request as detailed above and include your question in the "Private Message to the Calendar Editor."
